Organizer’s guide
Family reunion shirts for 100+ people
With 100 or more relatives, the hard part isn’t the shirt — it’s reaching everyone. Branch captains, branch colors and a firm deadline make it work.
Plan shirts for my familyUpdated

How do you organize reunion shirts for 100 people or more?
Split the family into branches and give each branch a captain. Approve one design, give each branch its own shirt color if you like, and share one link with a firm order-by date. Captains pass the link on, remind their side and help relatives who don’t shop online. Everyone orders and ships their own.
Step 1
Pick a captain for every branch
Most big families already have branches — usually the founding couple’s children and everyone who came after them. Ask one reliable person per branch to be its shirt captain. Instead of you chasing 100 people, you check in with five or six captains.
What a captain does
- Share the shirt link and the order-by date with their side of the family
- Send the one-week and last-call reminders to their branch
- Keep a simple list of who has ordered
- Order for relatives who don’t shop online
- Tell you their branch’s shirt color, if you’re color-coding
There’s a ready-made “will you be a captain?” message on the text templates page.
Step 2
Give each branch its own color
In a crowd of 100, color-coding turns a sea of shirts into families you can find. Everyone wears the same design; each branch picks its shirt color from the same link. Below is one sample design — the Johnson reunion shirt — in four branch colors.
Navy — the elders
Red — branch one
Heather grey — branch two
Kelly green — branch three
Plan yours in the branch color planner and share it with the captains.
Step 3
Reach everyone, not just the group chat
Branch group chats
One giant group text is hard to follow. A chat per branch, run by its captain, keeps messages short and personal.
A family Facebook group or email list
Good for the one official post with the link and the deadline — pin it to the top.
The invitation
Print the shirt link or a QR code on the invitation or save-the-date so it reaches every household.
Phone calls
For grandparents and anyone who never reads the group chat. A two-minute call beats five reminders.
Step 4
The 100+ person timeline
For 100 or more people the shirt planner gives relatives three weeks to order — reaching everyone takes longer. For a reunion on Saturday, July 17, 2027:
| When | What |
|---|---|
| 36 days before | Request your design |
| 33 days before | Approve the final design |
| 31 days before | Share the shirt link |
| 17 days before | Send the one-week reminder |
| 11 days before | Send the last-call reminder |
| 10 days before | Order-by date |
| 5 days before | Event-week reminder |
| Event day | The big day |
Step 5: Keep track without a spreadsheet of sizes
You don’t need anyone’s size — only whether they’ve ordered. Ask everyone to reply “ordered” in their branch chat, and have each captain tell you who’s left a few days before the deadline. A short list per branch is plenty.
Questions about 100+ person orders
Can 100 or more people order from the same link?
Yes. Each shirt is printed when it’s ordered, so there’s no minimum, no maximum and no stock to run out of. 100 people order exactly the way 10 would.
How early should we start for 100+ people?
About five weeks before the event. The design arrives within 12 hours and the link within 24–48 hours of approval; bigger families need about three weeks to reach everyone, plus shipping time.
How do we know who has ordered?
Amazon doesn’t share buyers’ names with us or with you. Ask everyone to reply “ordered” in their branch chat, and have each captain keep a list for their side.
Do we need to collect sizes for 100 people?
No. Every person — or every household — picks sizes (toddler 2T up to 6XL) and colors at checkout. There’s nothing to count or tally.
What about relatives who show up without a shirt?
It happens. Some organizers order a handful of spares in common adult sizes to hand out at the reunion. Order them before the order-by date like everyone else.
